A Chief of Staff (CoS) plays a key role in optimizing the project portfolio by ensuring that all projects are aligned with the company's strategy and business goals. In Swedish companies, where flat hierarchies and collaboration are central, this means that the CoS must work closely with the project office (PMO), management, and project leaders. The CoS is responsible for introducing standardized processes and tools, such as PRINCE2 or PPS, to create structure and transparency. At the same time, flexibility is required to adapt the portfolio to changing circumstances and new priorities. The CoS should regularly conduct portfolio analyses, where the status of the projects, resource utilization, and risks are evaluated alongside relevant stakeholders. By facilitating open discussions and using digital dashboards, the CoS can create a common picture of the portfolio's status and make informed decisions regarding re-prioritization. It is also important that CoS promotes learning between the projects and ensures that experiences are shared within the organization.
